AEI Privacy Policy

Last Updated: 22nd September 2025

  1. Introduction

The Victorian Deaf Society Ltd (Expression Australia) is committed to protecting and respecting your privacy. This Privacy Policy explains how we collect, use, and protect your information when you use the Auslan Emergency Interpreting (AEI) app (the “App”).

AEI is designed to support the Deaf and Hard of Hearing (DHH) community by enabling access to emergency services via live Auslan interpreters. The App does not require account creation, does not collect any personally identifiable information (PII), and ensures anonymous usage.

By using the App, you agree to the handling of information as described in this Privacy Policy.

  1. Information we collect

AEI does not collect or store any personal information about users. However, to provide video-based interpreting in emergency situations, the App requires certain device-level permissions:

  • Camera & Microphone Access: Required for conducting live video calls between users and interpreters.
  • Location Access (Optional): If granted, the App collects your device’s location only while the app is in use, to help relay your approximate location to emergency services for timely assistance.
  1. How we use your information

Information collected is used only for the duration of the emergency interaction to:

  • Facilitate live Auslan video interpretation between users and emergency services.
  • (If location is shared) Help interpreters and emergency service providers identify the user’s approximate location for dispatch purposes.
  1. Data Sharing and Disclosure

AEI is built to prioritise user privacy and anonymity. However, during a live video session:

  • The interpreter may verbally communicate necessary details (including approximate location, if shared) to emergency services on your behalf to assist in emergency response.
  • No recordings, user identities, or personal profiles are shared or stored by default.
  • We do not sell, trade, or share any data with third parties for marketing or commercial purposes.
  • In certain cases, DHH user information may be collected and securely stored on our servers, but only after obtaining clear and informed consent from the user. This may include limited contact or demographic information to improve service delivery or for follow-up support, where appropriate.

All consented data is handled in accordance with Australian Privacy Principles and secured using industry best practices.

  1. Data Retention

AEI does not create user accounts and, by default, does not retain any personal data. Device permissions (such as camera, microphone, and location) are used temporarily during an active emergency video session, and no data is stored once the session ends.

However, in specific cases where the user provides explicit consent, limited personal information (such as contact or demographic details) may be securely stored on our servers. This information is retained only for as long as necessary to fulfil the intended purpose (e.g., service improvement or follow-up support) and is handled in accordance with applicable privacy laws and security standards.

  1. Your Rights

By default, AEI does not collect or store any personal information, and most users remain completely anonymous while using the App.

However, if you have provided consent for us to collect and store limited personal information (such as contact details or demographic information), you have the following rights under the Australian Privacy Principles:

Access the personal data we hold about you.

Request correction of any inaccurate or incomplete information.

Request deletion of your personal data (subject to any legal requirements).

To exercise these rights or if you have any concerns about privacy or permissions, please contact us:

  1. Data Security

While AEI is designed to avoid collecting or storing personal data by default, we implement strong security measures to protect all aspects of the App’s communication and infrastructure, including:

  • Secure and encrypted video connections to protect your privacy during live sessions.
  • Temporary data handling during active sessions only, when no consented data is involved.
  • Where users have provided explicit consent for us to store personal information, that data is:
    • Encrypted at rest and in transit.
    • Stored on secure servers with restricted access controls.
    • Handled in compliance with Australian Privacy Principles and industry best practices.
  1. Device Permissions and Tracking

AEI does not use cookies or other persistent tracking technologies.

The App requests the following permissions:

  • Camera & Microphone – to enable real-time video communication.
  • Location (While Using the App) – optional; if enabled, used only during the session to help emergency services locate you.

Users can manage these permissions through their device settings at any time.

  1. Changes to This Policy

We may occasionally update this Privacy Policy to reflect improvements or legal requirements. If significant changes are made, we will notify users via the App interface.

Please check this page periodically for updates.
